Recording Your Time
All staff and student staff record their hours through UMBC’s Electronic Time Sheet (ETS) system. ETS is the official system of record for timekeeping.
If you’re new to the division or a supervisor of student staff, take a few minutes to walk through this guide so timesheets are submitted correctly and on time each pay period.
New Hires: Temporary Docusign Timesheet
It takes approximately 2 to 3 pay periods (roughly two weeks of pay) for ETS access to be set up after a start date. During this window, new hourly students should use a temporary Docusign timesheet.
A few things to expect during this transition period:
- Your first two paychecks will be issued as paper checks.
- Your third paycheck will usually shift over to direct deposit.
- Once ETS access is available, you’ll move over to recording your hours there going forward. The Docusign process is only for the initial gap before ETS access begins.
Completing the Docusign timesheet:
- Temporary Docusign timesheet instructions
- Under Supervisor Affiliation, select UMBC Faculty and Staff.
- Enter your supervisor’s Campus ID; their information will populate automatically.
- Under Payroll Option, select Individual Payroll Preparer.
- Enter the payroll preparer’s Campus ID; their information will populate automatically.
- Select the correct pay period dates.
- Record your time and submit.
New student staff supervisors in Student Affairs departments should plan to walk new hires through this process during onboarding, since it’s easy to miss if you’re not expecting it.
Leave Accruals and Guidelines
Leave accrual rates and eligibility vary depending on your position type. UMBC HR maintains the full, current guidelines for staff, non-exempt, and exempt employees.
